Position Summary: The Employment Specialist is responsible in supporting the talent acquisition and recruitment team in coordinating and implementing various aspects of the recruitment lifecyle process. This role involves initiating the onboarding and offboarding process, managing candidate communications, organizing recruitment events, and maintaining accurate candidate records.
Required Qualifications:
Requires an Associate’s degree with three years of Human Resources experience. Experience many subsititue for degree.
Knowledge of HR processes, best practices, laws, and regulations
Ability to collaborate with staff members at all levels across JCCC to resolve conflicts and promote positive employee relations
Excellent listening, verbal, and written communications skills
Strong customer service, interpersonal, and organizational skills with keen attention to detail
Ability to prioritize multiple tasks in a changing environment to meet organizational needs
Ability to display good judgment, time management, and flexibility while working under pressure
Critical thinking, problem-solving, mediation, negotiation, and conflict resolution skills
Proficient in Microsoft Office applications (Word, PowerPoint, Outlook, Excel)
Able to work independently and as part of a team
Ability to simplify complex interpersonal problems and identify appropriate options and creative solutions
Ability to maintain confidentiality and discretion

Position Details: Job duties include but are not limited to:
- Partner with the Talent Acquisition team to manage the administrative lifecycle of hiring for part-time and full-time positions, including drafting and preparing job requisitions, compiling personnel files and materials, and ensuring documentation is accurate and complete throughout the hiring process.
- Serve as the primary for entering and validating employee data changes in the Human Resources Information System (HRIS), including updates to personal information, degree completions, and employment status. Proactively communicate relevant changes to Payroll and other internal stakeholders.
- Serve as the primary contact for hiring part-time positions including job postings, applicant tracking, scheduling interviews, generating offer letters, initiating background checks, and other caniddate related communications.
- Facilitate the creation of Electronic Personal Action Notices through the Human Resources Information System and ensure accurate data entry as required.
- Process the pre-onboarding process including preparing and issuing offer letters, initiating background checks and motor vehicle reports, and overseeing timely completion of electronic I-9 forms.
- Maintain and update applicant tracking system (ATS) with accurate candidate information, statuses, and requisitions are consistently maintained and up to date. Monitor system workflows to identify and resolve gaps or inefficiencies.
- Manage the administrative offboarding process by initiating notifications to HR and relevant departments, tracking completion of offboarding steps, and ensuring a smooth employee transition.
- Work closely with the talent acquisition team to streamline and improve the recruitment process and serve as back up with the posting, screening, and other day to day onboarding process as needed.
- Provide logistical and administrative support to the Sr. Talent Acquisition Specialist during participation in career fairs, networking events, and other recruitment marketing initiatives.
- Assist in the transition of candidates from the hiring process to the onboarding stage.
