Location: Will be at both Overland Park Main campus and Edgerton CDL facility.

Pay Range:  $18.15 - $22.69 and determined based on relevant years of work experience.

Position Summary: The Commercial Driver’s License (CDL) Administrative Assistant provides the CDL Truck Driving Program support, manages processes, and ensures smooth running of the office. Professionally communicates with all levels of staff, students, clients, and vendors. The position is customer-service focused while executing tasks, processing and accurately tracking information using documents, spreadsheets, databases, and technology resources available. Works on a cross-functional team that supports all aspects of Branch activities.

Required Qualifications: 

  • Associate’s degree, two years of postsecondary education, or two years of related work experience.
  • Computer proficiency in MS Word, Excel, Outlook, and database management (especially MS SharePoint).
  • Strong organizational skills, ability to work on numerous projects simultaneously, and flexibility.
  • Commitment to accuracy; attention to detail.
  • Comfortable exploring and learning new technology and college processes quickly.
  • Exercise good judgment and initiative.

Preferred Qualifications:

  • Working knowledge of software used with the program such as Salesforce, JJ Keller, XenDirect and Banner.
  • Familiarity with Federal Databases related to CDL Truck Driving Programs such as CSTIMS and the Training Provider Registry (TPR).

Position Details: Job duties include but are not limited to:

  • SUPPORT THE PREPARATION AND EXECUTION OF OPEN ENROLLMENT CLASSES AND CONTRACT TRAINING –Proofs all information that is entered into the registration system. Prepares various types of contracts and forms in various software systems. Tracks student enrollments and forms. Orders, prepares, and inventories course materials. 
  • PROVIDE ADMINISTRATIVE SUPPORT TO STAFF AND INSTRUCTORS – Supports instructors and/or other staff members in scheduling of rooms, supplies and printing needs, and gathering all information required for classes, trainings, and events. 
  • PROCESS COMMUNICATION AND INFORMATION FLOW INTO AND OUT OF THE BRANCH – Prepares various types of correspondence. Organizes data and information through databases, spreadsheets, and various other documents. Serves as a point of contact for Workforce Development & Continuing Education’s CDL Program through phone calls, emails, etc. Maintains confidentiality of sensitive or privileged information. 
  • PROVIDE CUSTOMER SERVICE – Assists students/clients with questions and resolving problems. Provides course-specific information. Handles unique enrollment. Situations such as entry to closed classes, waivers, or pre-requisites. Adhere to each individual client’s processes. 
  • TRACKING OF STUDENT TASKS AND DOCUMENTS – Updates and maintains students and instructor regulated and required documents such as permits, physicals, DOT medical cards, drug screenings, and progression through online theory courses.
