Position Summary: The Information Coordinator is responsible for supporting the effective operation of the Campus Services and Facility Planning Department. As a supervisor the Information Coordinator will provide leadership to the administrative staff to ensure quality services are rendered. Support the department in the dissemination of departmental information among the campus community. Has thorough knowledge of departmental procedures relating to building maintenance and operations, office management, remodeling and infrastructure projects, utilities, office relocations, customer service, as well as the policies and values of the college. Directly assist the Campus Services and Facility Planning Associate Vice President in planning, implementing and managing the Campus Services Department's fiscal budget and capital infrastructure master plan.

Required Qualifications: Bachelor's degree in Information Systems Management, Facility Management, Accounting, Business Administration or related field (experience may substitute for degree)
Minimum of five years' experience in successful supervision of personnel and resources required.
Proven experience working within a physical plant organization and the ability to read architectural drawings and documents. Strong project management, communication, computer and public relations skills.

Preferred Qualifications: Ability to work fluently within various types of software (BANNER, including function-specific modules; word processing; graphics/presentation; database; custom applications, CAD, FileMaker Pro and Microsoft applications). Ability to understand and apply departmental and college policies and procedures. CPTED certified.

Position Details: Job duties include but are not limited to:

  • Assist in the preparation and management of the Campus Services & Facility Planning departmental budgets 
  • Supervise and provide leadership to Campus Services office administrative staff 
  • Independently communicate and interface, frequently and effectively, with campus wide administrative staff, faculty, other campus staff, professional organizations, contractors' and outside agencies on matters and projects related to the Campus Services/Facility Planning department
  • Assist the Associate Vice President in managing the College's leased facilities. Monitor monthly lease charges, pay utilities and work with the management company on any projects that would affect the leased spaces and maintenance issues. Assist the occupants of the leased spaces with any issues related to the space
  • Monitor campus utilities costs and trends and prepare the annual utilities budget based on this information, verify utility bills and process for payment, prepare annual utility usage reports, assist in the projection of utility cost adjustments with utility agencies for annual budget recommendation, submit upgrade information costs and inventory to utility companies to participate in energy conservation rebate programs
  • Provide project prioritization for Programmer/ Analyst to support the functions of the Campus Services department using information technology systems; i.e. TeamDynamix (Service Request System, Move Requests), Banner, FileMaker Pro (Fleet Reservation System)
