Position Summary: Process payments, deposits, and tuition refunds while supporting the Student Account Services function through communication with students, parents, and departments regarding account balances, holds, payments, refunds, and more.
Required Qualifications:
- Completes assignments with little supervision.
- May assist less-experienced team members.
- Typically requires 3+ years of related experience.

Position Details: Job duties include but are not limited to:
- Ensure timely and accurate recording of revenues, receivables, and removal of holds preventing enrollment, including but not limited to tuition and fee payments, departmental deposits, selective admissions deposits, scholarship payments, procurement card repayments, and invoice payments.
- Balance the cash drawer and reconcile activity daily.
- Process tuition refunds via credit cards, checks, and direct deposit in a timely and accurate manner based on the original payment method. Ensure accordance with departmental and Title IV regulations and policies. Communicate with students regarding the status of refunds and initiate stop payment requests.
- Coordinate refund efforts amongst the part-time Accounting Specialists during large volume periods.
- Support departmental leadership in managing Marketplace, including generating reports on products and services on a regular and ad-hoc basis, distributing reports appropriately, and creating new products as requested by staff and faculty.
- Maintain a cash vault to take payments from various parties across campus. Order cash and provide change, cash boxes, and/or credit card equipment. Maintain vault log to ensure cash bags and equipment are returned in a timely manner.
- Maintain knowledge and awareness of applicable regulations, such as FERPA, PCI, and GLB, to ensure compliance and identify suspicious patterns or activities.
- Assess miscellaneous charges to student accounts and make appropriate account adjustments for unapplied payments. Write off small balances on accounts.
- Support Student Account Services by assisting staff, students, and parents with various inquiries and topics, such as account status, deadlines, payment options, tuition rates, refund appeals, 1098T forms, and availability of college resources.
- Work to resolve issues and disputes, including handling difficult interactions with diplomacy and patience. Maintain coverage of phone queue and email.
- Assist departmental leaders in reviewing systems and processes, updating procedures, and advising staff and faculty on deposits and processes.
