Pay Range:  $61,900.00 - $80,900.00 and determined based on relevant years of work experience.

Position Summary: The CRM Administrator & Data Manager is responsible for leading the implementation, optimization, and management of the College’s Customer Relationship Management (CRM) system, which serves as a central hub for student recruitment, enrollment and retention activities. They will combine strategic oversight with hands-on management of relationships, data analysis, system optimization, and cross functional collaboration to optimize the student experience. This role is crucial in enhancing the college's engagement with students through providing employees with a holistic view of the student. They will collaborate with leadership in Academic Affairs, Student Affairs, and IT to drive CRM initiatives that align with the college's strategic plan and goals. This role involves strategic thinking, technical expertise, collaboration, and a strong understanding of, and commitment to, achieving enrollment goals.

Required Qualifications:

  • Bachelor’s degree.
  • Must have 5+ years of experience working with a CRM.
  • Prior experience in writing queries and reports.
  • Ability to analyze data.
  • Knowledge of marketing communications and the ability to deploy communications plans.
  • Ability to troubleshoot issues and solve problems.
  • Ability to document processes and provide training to system users.
  • Organized thinker with exceptional attention to detail.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experience with Banner student information system.
  • Experience with Element451 CRM.
  • Experience with AI-driven CRM tools or features (e.g., predictive analytics, chatbots, customer segmentation automation).
  • Familiarity with leveraging AI or machine learning in customer relationship management to enhance user engagement and sales performance.

Position Details: Job duties include but are not limited to:

  • Develop and execute a comprehensive CRM strategy aligned with the college's goals. Lead the CRM project team in designing, implementing, and maintaining the system. 
  • Provide direct supervision of the team dedicated to maximizing access and retention. This team analyzes predictive analytics models, workforce development data, and the College’s strategic plans to develop campaigns that are tested, deployed, measured, and optimized.
  • Responsible for managing marketing personas and marketing-specific journey, aligning to existing student lifecycle. Analyze touch points with the College while maximizing prospect student outreach opportunities. Assesses, maps, streamlines, and maintains the college’s student-facing business processes. 
  • Manages and implements targeted recruitment and retention campaigns to encourage application conversions from marketing leads, using the CRM platform to create personalized interactions with students, from admissions to graduation. 
  • Manage data integrity and security within the CRM system. Lead the functional team in coordinating CRM system upgrades, enhancements, and maintenance. Create procedures that ensure that all systems, products, and services meet agency standards and the end-user requirements. 
  • Document decisions and system functions, ensuring appropriate documentation for overall system functions and department-specific information, analyzing stakeholder needs to assess technical feasibility and solutions. Translate stakeholder requirements into functional specifications and manages changes. 
  • Develop and maintain the application for admission and ensure integration with Banner and imaging software.
  • Manage CRM development and customization in collaboration with the Information Technology Department. 
  • Streamline workflows and automate tasks to free up staff time.
  • Develop forms and landing pages to capture leads, then create campaigns to nurture those leads to matriculation. 
  • Create data file transfers into and out of the CRM, monitor the accuracy of data across systems, and resolve data discrepancies.
  • Provide CRM training to staff and serve as the first level of support for CRM-related questions, serving as the primary advocate for CRM best practices and innovation within the college.
  • Research and analyze data for strategic enrollment planning/management and prepare reports as necessary.
