Position Summary: The Senior Project Manager is responsible for the successful delivery of large scale, strategic, and cross-functional technology initiatives from project initiation through implementation and completion. The Sr. Project Manager (SPM) works closely and collaboratively with stakeholders to plan, direct, organize, and execute against project requirements. The SPM also works with IS leadership to identify, acquire and coordinate necessary resources to ensure timely delivery of project outcomes. He/she is responsible for monitoring and reporting project status—including risks, issues affecting project schedules, and milestone achievements—to the Director of the Project Management Office and stakeholders. The SPM develops project plans and schedules and ensures projects meet departmental requirements, standards, policies, and deadlines.

Required Qualifications: • Bachelor’s Degree
• Minimum of five years Project Management experience
• Minimum of five years’ experience using integrated database information systems.
• PMP certification, or to be completed within 1 year of hiring date
• Excellent communication and customer service skills
• Excellent problem solving and analytical skills
• Ability to multi-task in a fast-paced environment
• Highly self-motivated and directed

Preferred Qualifications: • Master’s Degree
• A working knowledge of Ellucian Banner software system or similar college administration
software system.
• Experience training groups or individuals regarding the use of computers and related

Position Details: Job duties include but are not limited to:

  • Project Management - Manage multiple complex projects simultaneously using a team approach involving functional area champion(s), technical lead(s), vendor resources, development staff, system specialist(s), business analyst(s), subject matter expert(s), and other support staff as needed. The SPM creates and/or manages all documentation associated with project delivery including scope and requirements definition, technical specifications, communications plan, test plan, and training. They must maintain open communication with project stakeholders, work to resolve issues in a timely manner, and ultimately deliver the functionality that meets the requestor’s needs. Performance is acceptable when: a. Projects completed successfully as defined by functional area and PMO standards b. PMBOK guidelines and methodologies are evident in processes, methods and systems used by PM in executing assigned projects c. Project results and metrics (developed by the cross functional team) show a direct tie-in to published college objectives d. Verification (via testing and validation) of project deliverables satisfies project requirements and quality standards 
  • Portfolio Management Support – Ensure projects are assigned to designated portfolio(s) within the PPM tool to provide the ability to quantify, rank, and prioritize projects. The Senior Project Manager is able to articulate and document dependencies among projects for overall project management purposes. Performance is acceptable when: a. Project and portfolio reports are produced with current data. b. Best practices and standards to ensure project state is updated based on established intervals (weekly, monthly, quarterly, annually). c. Communicate and escalate project and portfolio metrics to management. 
  • Project Intake, Governance Support and Project Consulting – Assist leadership within Information Services as well as across campus with current methods, best practices, and methods with regard to guiding and support the project intake process. Work with all levels within the organization to provide counseling and support in developing project intake/initiation forms to include project objectives, scope, success metrics, resource requirements, and deliverables. Performance is acceptable when: a. Aggregate data is utilized as an input to overall project prioritization discussions with leadership. b. Senior project manager demonstrates high levels of knowledge regarding project management, tools, processes, and methods from project initiation through completion to assist throughout the college including functional areas. c. Build and maintain relationships with leadership and functional areas across campus. 
  • Resource Allocations and Capacity Planning – Utilize the PPM tool to estimate resource roles and hours to complete project work. Engage with stakeholders to set realistic target dates for project tasks, milestones, and due dates. Performance is acceptable when: a. Estimated project resource allocations are current in the PPM tool. b. Resource availability is coordinated with functional managers. c. Reporting and related data is available and utilized to facilitate project prioritization discussions with stakeholders and resource managers, as needed. 
  • Process Improvement – Use creative problem solving to ensure correct, efficient, and innovative use of administrative computing systems. This person also ensures the functional area is aware of changes to federal regulations and information security policies and helps to ensure systems and processes are updated to maintain compliance with these standards. Performance is acceptable when: a. Functional area management teams report feeling supported and aware of current options and administrative computing system capabilities via direct feedback and/or surveys b. Use creative problem solving to ensure correct, efficient, and innovative use of the administrative computing system(s). 
  • Technology Consulting – Help the management team within the functional area stay current on the capabilities and characteristics of technology systems that are available. Performance is acceptable when: a. PM demonstrates high levels of knowledge in regards to systems and applications that are available to meet the needs of the College functional areas. b. Maintain a good relationship with third party vendors to maintain knowledge of system capabilities and changes as new releases are introduced. 
  • The responsibilities described represent the primary responsibilities of the job. Other responsibilities may be assigned by the supervisor as warranted by business needs.
